Primary Modules
System Administration
The System Administration module allows administrators to configure and customize Record Management System settings, security, and tables. Functions include:
Central Configuration - Records that define access rights for each jurisdiction in a multi-jurisdictional environment. In order for one jurisdiction to have access to another jurisdiction's information, rights must be granted.
Number Controls - Number Control records create masks for generating case and record numbers.
Officer Info - The information here displays in all Officer ID and Name pull-down selection menus.
Code Tables - Code Table records contain the information presented in selection menus found throughout RMS.
System Defaults - System Default records define default information for each jurisdiction that the Agency is using.
Synopsis Setup - Synopsis Setup records define how different elements of a record will be displayed along with a brief description of each record type
User Rights - User Rights records determine the rights of each of the Agency's Users.
Keyword List - Key Word records define the capability to search User defined key fields for specified key words.
UCR/NIBRS and State Statutes Codes Ð As defined by State and Federal agencies. Local agency codes may be added.
Case
The Case module is the primary module for the collection of the agency's law enforcement data. RMS assigns the case number after a record is saved. This number is generated according to the mask defined in the System Administration module; it provides the central indexing method by which Incidents, Juvenile and Adult Arrests, Field Interviews, and Evidence records are connected, much like a physical case file provides a repository for related documents. Other record types can be associated by Case numbers when applicable, such as: warrants, traffic collisions, pawn tickets, citations etc.
Incident
Incidents provide the "who, what, where, and how" information of reported crimes. It is the primary module for collecting crime data, both "state reportable" and miscellaneous. It contains sub modules that allow the User to add an unlimited number of associated records concerning offenses reported, involved persons (victims, suspects, witnesses, officers, etc.) property, drugs, and vehicles. Unlimited narrative text may be entered, imported, and/or attached to an incident within any sub module.
The Incident module has the capability to track hate crimes, domestic violence incidents, etc. and automatically indexes incident statistics to produce:
A monthly summary report
A trend analysis report
Stolen property reports
Unlimited User-Defined reports
Case Management
This module is primarily for investigators and their supervisors to track the progress of assigned investigations, keep investigative notes, document interviews, close or change the status of cases, and indicate case solvability based on Administrator defined solvability factors.
Critical case data from various modules is displayed within this module for easy reference by investigators, such as: Case number, date, time and location of incident, number of victims, primary offense reported, and operation methods used. All primary search functions are available within the module as well.
Adult and Juvenile Arrests
Adult and juvenile arrests are managed in separate modules in order to provide proper confidentiality of juvenile records. Arrest modules have on line mug shots and lineups.
The Enhanced Booking sub module provides for data collection and intake processing of inmates such as: inmate personal data collection, intake and medical screening questionnaires, safekeeping and releasing of prisoner property etc.
Citation
Track citations issued in this module including traffic, misdemeanor, and local ordinance violations. Information can be maintained regarding:
Personal information about the recipient of the citation.
Charges being issued
Vehicle Information
Location information
Issuing officer, etc.
When adding a name in the Citation module, RMS automatically checks the name against the Master Name Index and warns the User if any outstanding warrants are found.
Citation reports within the RMS are retrieved according to the following criteria:
Occurred on a given date
Occurred at a given location
Citations issued by a particular Officer
Involved a type of violation
The RMS is capable of generating form letters for individuals overdue in paying fines. Letters are user defined and created.
Traffic Collision/Accident
This module provides a repository for collection of State mandated traffic accident data, scene sketches, scene photos, and printing of State accident report(s). Data can include vehicle(s), involved persons (drivers, owners, pedestrians, witnesses, etc.), weather, road, and lighting conditions, violations, location, directions of travel, injuries, etc.
Cases and citations can be associated with traffic accident records.
Evidence
The Evidence module assists users in preserving data regarding evidence and property collected, housed, and released. Bar code reading capability is interfaced for quick data entry.
Field Interview
Collect information on field interviews including officer observations and data about subjects, vehicles, known associates, "street names", monikers, scars/marks/tattoos, and gang affiliations.
When the User enters any Field Interview Name, the RMS automatically references the database and issues a warning if the person has any outstanding warrants.
Warrant
The Warrant module is for tracking warrants and warrant service. Automatic alerts identify active warrants when a subject is searched in RMS or CAD (when systems have integration settings activated).
National Incident Based Reporting System Compliant
Standardized comprehensive incident-based reporting capable. Incident records are validated for NIBRS compliance. State/Federal statistical reports may be transmitted electronically.
